1. Release of Liability Statement

I, in my personal capacity or as the parent/guardian of the aforementioned participant(s):
 
1.1. Acknowledge that the above information is correct and I will confirm the permission to participate in the activities by registering in each of them.

1.2. Aagree that I will not hold the instructors nor Q.F.I. SCHOOL ACTIVITIES liable for any losses, liabilities and damages, injury or death suffered or incurred by the participant whilst taking part in any of the activities run by Q.F.I. SCHOOL ACTIVITIES.

2. Media Consent and Safeguarding

2.1. Photographs, videos and other image content may be taken of the participants taking part in the activities for promotion of the club and displayed on Q.F.I. SCHOOL ACTIVITIES website, Q.F.I. SCHOOL ACTIVITIES website, social media, press releases, articles, and in newsletters. If you do not consent to the use of your image or your family members, please send us an opt out e-mail to clubsys@qfischool.com. 
			  
2.2. Moreover, we inform you that in accordance with child safeguarding guidelines we do not name the participants in the activities of the used images, only giving general descriptions of the activities.

3. Enrolment policy

3.1. Enrolment is termly following the dates of the school academic terms or the remainder thereof. Participants will receive lessons according to the scheduled programme.
	
3.2. Payment is per term in advance. Participants will only be granted access to the activity after payment is confirmed.
	
3.3. Q.F.I. SCHOOL ACTIVITIES accepts only credit card payments via the ClubSys portal or bank transfers to the school's bank account.
	
3.4. Participants should arrive on time for the activities and leave the premises as soon as the activities end. Late arrival time will not be compensated.
	
3.5. For absences, please consult refund policy. 
	
3.6. If a participant decides to withdraw from an activity, 1 month written notice, addressed to the Q.F.I. SCHOOL ACTIVITIES, with cc to the instructor is required.
	
3.7. With current Covid 19 pandemic Q.F.I. SCHOOL ACTIVITIES activities follow all MoPH guidelines. Please make sure you comply with all the requirements.

4. Refund Policy

Refunds will only be given in exceptional circumstances and at the discretion of Q.F.I. SCHOOL ACTIVITIES. An administration fee of QAR 100 will be applicable to any refund other than those made on medical grounds.
	
4.1. Reasons for refund:
	
  4.1.1. Medical/Injury well documented
	
  4.1.2. Leaving the country
	
  4.1.3. Other exceptional reasons as decided by Q.F.I. SCHOOL ACTIVITIES where each case will be assessed on its merit with the provision of the necessary documentation. 
	
4.2. Refunds will be processed within 3 weeks from the date of approval. 
	
4.3. We reserve the right to deliver our programmes online if any government restrictions relating to pandemic events prevent the physical delivery of programmes. No fees will be refunded in such instances. 
	
4.4. If a participant is sick or unable to attend an activity due to unforeseen circumstances, email should be sent to clubsys@qfischool.com and the instructor prior to the start of the activity, with at least reason for the absence and documentation where applicable.

5. Data Protection, Confidentiality & Data Security Policy

Q.F.I. SCHOOL ACTIVITIES will collect and use/process your personal information in the manner described below.
	
5.1. Information Collection – Notice and Disclosure Statement
	
Q.F.I. SCHOOL ACTIVITIES may utilise your personal information for the following purposes:
	
  5.1.1. User validation
  5.1.2. Statistics collection
  5.1.3. Promotion of activities/marketing
	
Q.F.I. SCHOOL ACTIVITIES does not sell or rent personal information collected from you to third parties.
	
5.2. Consent Statement
	
You explicitly consent to Q.F.I. SCHOOL ACTIVITIES and its authorised representatives to use the data for the purposes mentioned in paragraph I above.
You acknowledge that your personal information may be transmitted and used/processed by Q.F.I. SCHOOL ACTIVITIES and its authorised representatives’ entities outside of your home country/jurisdiction and explicitly consent that your personal information can be transmitted, stored and processed in such third countries for the purposes specified in paragraph I above.
	
Naturally your participation in such collection of personal information for the specified purpose is voluntary. Should you not consent, you can inform us at any time at clubsys@qfischool.com, so that we can prohibit the use of your data accordingly.
	
5.3. Accessing and Updating Your Personal Information
	
We make all efforts to show a high level of accuracy on the data we collect however sometimes data may be incorrect. For information and change requests regarding your personal data please email us to clubsys@qfischool.com. 
	
5.4. Security Statement
	
Q.F.I. SCHOOL ACTIVITIES uses security measures in order to protect the data we have under our control against manipulation, loss, destruction, access by unauthorised persons, misuse, alteration or against unauthorised disclosure. You take on the personal responsibility of ensuring that your password is kept confidential. Q.F.I. SCHOOL ACTIVITIES will not be liable for the manipulation, loss, destruction, unauthorised access, misuse, alteration, or unauthorised disclosure of your personal information due to negligence or failure on your part to ensure the confidentiality of your password.
Our security procedures are continually enhanced as new technology becomes available.


5.5. Changes to the Policy
	
Q.F.I. SCHOOL ACTIVITIES has the right to change this Policy as and when required. The changes will be posted on this webpage. Please check the website.
